At Scanletics, we respect your privacy and are committed to protecting your personal data. This policy explains what information we collect, how we use it, and your rights under UK GDPR.
8. AI consultation summary (optional)
At the start of your consultation, your Body Scientist may offer you a written summary of the conversation as the last page of your report. It is optional. Your scan, your report and your consultation are the same whether you say yes or no, and you can ask us to stop at any time.
What happens if you say yes. We record the consultation through a microphone in the scan room and an AI service turns the speech into text as you talk. The audio is never saved by us. Your name is removed from the text on the studio computer before anything is stored. A second AI service drafts the summary from that text, and your Body Scientist reads and corrects it before it is added to your report.
Quality and training. From the same text we also keep a short record of how the consultation was run: the topics covered, in what order, what was recommended and what could be done better. It does not include your name, and we use it only to train and support our Body Scientists.
Our lawful basis. Your consultation includes information about your health, so we only do this with your explicit consent (UK GDPR Article 6(1)(a) and Article 9(2)(a)).
Who processes it for us.
Deepgram, Inc. turns the audio into text on its European servers. It keeps the audio only while transcribing and does not use it to train its models.
Anthropic, PBC writes the draft summary on servers outside the UK and EU, under safeguards approved for UK data transfers. Anthropic does not use it to train its models.
Cloudflare, Inc. stores the transcript and the quality record in the European Union.
How long we keep it. The transcript is deleted after 30 days. The quality record is deleted after 12 months. The summary becomes part of your report and is kept like the rest of your health records (see section 6).
Changing your mind. During the consultation, tell your Body Scientist and we delete everything recorded so far. Afterwards, email hello@scanletics.co.uk and we will delete the transcript and quality record we hold for your visit.
